End-User License Agreement
The terms for using Whitegate Mechanical’s internal Project Control workspace.

1. About this agreement
This End-User License Agreement applies to Whitegate Mechanical | Project Control and its integrated Purchasing Tool (together, the “Application”), operated by Whitegate Mechanical, Inc. (“Whitegate”, “we” or “us”). The Application may appear as “Whitegate Tool” or “Whitegate Control” when you authorize a connected service. It is an internal business application for authorized Whitegate personnel.
By using the Application, you agree to these terms. If you are not authorized by Whitegate, you must not use it. Public access to this agreement or the Privacy Policy does not grant access to company records.
2. Your permission to use the Application
Whitegate grants you a limited, non-exclusive, non-transferable and revocable right to use the Application for approved Whitegate business, within your assigned role and project permissions. You may not sell, sublicense or provide the Application or its records to unauthorized people. Your access ends when Whitegate withdraws authorization or your work no longer requires it.
3. Accounts and responsible use
Use your own assigned account, protect your password and setup links, and report suspected unauthorized access promptly. Do not share accounts, bypass permissions, probe other users’ records, introduce harmful code, disrupt the service or use the Application unlawfully. Only upload information you are authorized to use and share. Keep business records accurate and correct errors through the appropriate workflow.
These terms do not restrict disclosures required by law, legally protected workplace activity, or rights that cannot lawfully be waived.
4. Project, purchasing and Finance decisions
The Application supports planning, project monitoring, material requests, quotations, purchase orders, delivery records, invoice review and financial oversight. Your role determines which actions you may take. You remain responsible for checking quantities, prices, taxes, vendors, project allocations, delivery evidence and supporting documents before approving or issuing a transaction.
An imported record, suggested priority, draft invoice or planned payment is not an approval, a confirmed delivery or evidence of payment. Follow Whitegate’s approval procedures. Use the accounting system and its supporting records to reconcile posted transactions.
5. Connected services
Google, Salesforce, Intuit QuickBooks Online and other connected services require separate authorization and are subject to their providers’ terms. Connect only accounts you are authorized to connect. A company connection may make permitted business information available to other authorized Whitegate users.
The personal email review feature reads authorized email; connecting it does not authorize that feature to send, edit or delete messages in your mailbox. Separate Purchasing email functions, if enabled and separately authorized, can process supplier correspondence and send messages through their explicit workflow. QuickBooks access is managed through Finance, and posting a bill requires the applicable Finance approval and confirmation.
You or the responsible administrator may disconnect a service. Disconnection does not reverse purchases, posted accounting entries, previously sent messages or other completed actions. Providers may also suspend or revoke access.
6. Email visibility and privacy
Connected work email is used for the email and priorities features described in the Privacy Policy. The mailbox user and the company owner can review that user’s connected email and priorities. Connecting an account is subject to the connection notice and the provider’s authorization screen. Use an approved work mailbox and review that notice before connecting.
Company records, user activity and approvals may be reviewed by authorized personnel for operational, security, audit and legal purposes, within the Application’s permissions.
7. AI assistance and data freshness
AI answers, extracted document data and suggested actions are assistance for human review. They can be incomplete or incorrect and may reflect a limited set of records. Check source documents, source links, timestamps and connection status before relying on an answer. AI output is not professional accounting, legal, engineering or safety advice, and it does not itself authorize a purchase, payment or other commitment.
External services, request limits, network conditions and authorization changes can delay updates. Check the last successful update and the source system when current information matters.
8. Ownership and confidentiality
Whitegate and its licensors retain their rights in the Application. Business data remains subject to its existing ownership, confidentiality obligations and applicable law. You grant Whitegate the permission needed to store, process and share information you submit for the authorized business features and as described in the Privacy Policy. No ownership of your connected provider account is transferred.
Third-party software and services retain their own licenses and rights. Protect confidential company, employee, customer and supplier information, including when downloading or sharing records.
9. Availability, changes and ending access
Whitegate may maintain, update, restrict or suspend the Application or individual accounts to meet business, security or legal needs. The Application is provided on an “as available” basis; uninterrupted operation, complete source data and error-free AI output are not guaranteed. Nothing in these terms excludes a responsibility or liability that applicable law does not allow us to exclude.
Ending access does not automatically delete business records. The Privacy Policy explains retention and requests for access, correction or deletion. These terms do not replace an employment agreement, construction contract, supplier agreement or approved company procedure.
10. Updates and contact
The effective date identifies the current version. Material changes will be communicated to authorized users through the Application or company communications. Changes to connected-data use will require any notice or consent required by applicable law and the provider’s policies.
